Cannot delete inventory item

I an purging out inventory item of all items entered but never purchased or sold.

I have an item that has no history in the fast report, but reckon says it has been used in at least one entry and that I cannot delete it.

Is there another way I can the entry Reckon is referring to?

    Hi Shaz,

    Thanks for replying, I did select the 'all dates.' So, I don't understand why I cannot delete the item and there are others items that are the same. I have staff here who don't know the first thing about accounting ( not that by any means I am an expert LOL). This person changes items put things into the system before we have even purchased or sold them. Sometimes he will change an old item if I don't watch him or change data and i do wonder if this is somehow corrupting Reckon accounts. He needs access to sales and purchasing, but I would love to be able to limited access to items so he cannot change pricing but as far as I am aware, Reckon cannot do this. There is also no trial report for items unless in sales etc, so I cannot see what he's been working on. I worry that he may change things so it will affect BAS or PAYG. He is old school, the boss and thinks we should all work around his failings.

    My next month is to use verify tools etc and if that doesn't work , I will have to make it inactive.

    Hi Tilley

    Urghh ... That's a very frustrating situation 😩

    Try running the Rebuild 3 times (under the File dropdown menu > Utilities > Rebuild Data) For some reason THREE rebuilds fixes a lot of corruption issues.

    In Reckon Accounts desktop, you can edit a user's access permissions under the Company dropdown menu > Users > Set Up Users & Roles. The User List will display your current users & when selected, their assigned Role will show in the bottom box. If you click on the Role List tab, there are a range of access level Roles which can be further edited quite specifically (by selecting & clicking on Edit)

    For example, under the Sales Role, you can allow view-only access for Lists which prevents creating, modifying or deleting any list entries!

    There's an Audit Trail report (under the Reports dropdown menu Accountant) which can specifically show if/what has been edited/added/deleted, when & by which user, however this is only transaction-based (eg for entries) not specifically for activity like changing an Item.

    I create my own time-stamped session report so I can see what transactions been entered or modified. To do this:

    • Go to Find (under the Edit dropdown menu) & click on the Advanced tab
    • In the Filters list, scroll down & select Entered/Modified then choose the specific period or date range you want to check (eg Today)
    • In the Filters list, click on Detail Level & select Summary only
    • Click on Find, then Report
    • Click on the Modify Report button (at the top of your report) & on the first Display tab, make sure the Report Basis is set to Accrual
    • In the Columns list below, click on Entered/Modified & also Last modified by to add these columns (You can also add/remove other columns you want/don't want accordingly)
    • Under Sort by, select Entered/Last Modified & set the order to Ascending or Descending (depending on whether you want the earliest or latest entry displayed at the top)
    • Click on the Header/Footer tab & name this report in the Report Title box (eg "Activity Log") then click on OK
    • Memorise by clicking on the Memorise button at the top of the report &/or add this report to your Icon Bar (click on View > Add ... to Icon Bar) for fast & simple access

    This is a great report to see who has entered/edited what & specifically when!

    You can also set a Closing Date - with or without a password - if you want to "lock" specific periods (eg after each BAS) This option will still allow editing/deleting but will prompt & - if set - will require password entry to do so.

    This is also under the Company dropdown menu > Set Closing Date or accessible also via the Edit dropdown menu > Preferences :

    Hi @Tilley

    Check to see if the item(s) have been used in non-posting transaction types, such as "Purchase Orders", or Estimates.

    In the FastReport, modify it and confirm if the filter for Posting Status is set to "Either" or "Non-posting."

    Reckon Data team,

    already tried that and several other suggestions, its ok I have just made it inactive.

    Wasted too much time trying to figure out why I Cannot delete it.
