Non-manual migration of supplier and customer detailed balances into a new Reckon data file?

Hello Team,

WE are using Reckon Accounts Enterprise 2021, and we would like to create a new data file with a cut off of new FY 1st July. We will have to migrate all the open balances in the balance sheet of the old data file, into the new Reckon file.

With regards to AP (payable) and AR (receivable) balances, is there a non-manual way for us to migrate all open invoices/ credit notes unused in the old file into the new file? We would like to automate the process as much as we can.

Any idea at all would be great. Thanks.

    You can export/import all Lists (eg Accounts, Customers, Suppliers, Employees, Items etc) but unfortunately, not actual figures. You will need to either enter the opening balances where applicable.

    I recommend generating reports for Customers & Suppliers & entering the Invoices & Bills that are still open (eg unpaid) That way, the GST components are still brought across for them ☺️

    Why are you wanting to create a new file, Reckon is a date based program so you only report on the specific time period, disregarding all previouse data, call me for a better explanation.

    Thank you Shaz for the suggestion, that would be done as the last resort because (agreed) that manual entries will capture the balances most accurately.

    @Gerry, the data file is getting so big and makes it impossible to work with especially towards the end of FY. So we may decide to create a fresh data file for this coming new FY23. The main file size is 1.7GB at the moment, so running a simple AR ageing report can take up to 10 minutes and locks out other users from using QB in general most of the time.


    Is there a different alternative that you or Shaz can suggest to bypass the slowness/ file size issue?

    It looks like Shaz is right witha new data file, still bring in all your lists and then decide who you want to keep as you can delete easily as there are not transactions linked to them.

    This next question is perhaps for the Reckon Team. Is there a way to utilise Reckon Online to migrate the data from one desktop Reckon Enterprise file to a new/ blank one? One of our team members did mention that he used to work with Reckon Online and it was possible to do an automated data migration from one file to another. Is it possible to link the desktop version with the online version and vice versa?

    There's no such thing as "Reckon Online" so I’m assuming you’re referring to "Reckon Accounts Hosted" (RAH) ? This is actually the Reckon Accounts (RA) desktop "Enterprise" version of the program but it's 'hosted' on Reckon's servers so all RA version-company files can be uploaded into RAH without any conversion/migration necessary. Once a file has been upgraded to RAH, it becomes the "Enterprise" version so can only be reverted back to the "Enterprise" desktop program (RAH users are entitled to a complimentary copy of RA Enterprise that can be utilised offline, then uploaded back to Hosted).

    Note, data still can't be migrated at user level although I believe Reckon may well have an option for this (paid) service.
