How to invoice a Third Party Customer - Insurance Company
My client is a mechanic shop providing service & repair work, including clients claiming through insurance companies. The insurance companies' claim process includes the following:
1 - Created Vehicle owner account, including vehicle details;
2 - R&R quote to their insurance company, often a subsidiary company, eg GIO (which is subsidiary to AAI Australia), for their approval;
3 - When work is completed, the invoice MUST be sent to the parent company, eg AAI Limited, this printed invoice is to include:
- owner name - maybe via "shipped to" ?
- Vehicle details;
- Policy#
- Claim#
- Vehicle Rego;
- Vehicle details;
These details, I think, can be added through Custom fields
If third party invoicing is not possible, can you suggest a work around?
Thanks

Hi @pauline
That's correct you can add those details to an invoice using custom fields in Reckon One.
In regard to points 2 & 3, I assume the subsidiary insurance company will be setup as the 'customer' in this instance, is that correct? Does the parent company need to listed on the invoice as well or is it just a matter of sending them the invoice upon completion of the work?

Hi Rav
Thanks for replying so promptly.
The "customer" / client is the owner of the vehicle who owns a policy through the subsidiary company (here all the details need to be listed as above).
The invoice to be sent for payment has to be made out to the parent company, listing them as the customer, their ABN, including details as listed above etc and everything on the invoice. Basically, I need to be able to create the vehicle owner initially as the customer/client, get a quote under the subsidiary company, then invoice the parent company under their name and ABN, duplicating the information listed (the subsidiary company does not need to be included here).
I handled it in RAH using "Jobs" as the client's name, under the customer, ie the insurance company.
Following the insurers' required procedure, we can just change the quote from the subsidiary company to the parent company when creating the invoice to be sent to the parent company to be paid, which shouldn't be a problem I think.
Any suggestions???
Thanks

I've been looking this over and to be honest, I'm not sure there's a straightforward way to do this.
You could potentially look at utilising custom fields to display information on the invoice as you need it. An alternative could be to look at the projects feature which will allow you to assign an item on the invoice ie. vehicle work to a specific project.
The only way I can really think of at this stage would be to change the customer details after the estimate has been approved prior to converting it to an invoice.
Sorry, I'm not sure how helpful that is, if at all.
