Clean up Company File ERROR - Reckon Accounts Hosted

Am trying to do a Clean up Company file in Reckon Accounts Hosted, keep getting an error message half way through the clean up stage of the process, need to restore the backup and start again.  Any ideas why we can't run Clean up your company data without the below error?

Hi Megan,
Have you run a verify and rebuild on your file prior to this?

In terms of the the cleanup, are you using this function for file maintenance? ie. to reduce your company file size?

Yes we have done a rebuild on the data file :) 

We are doing the clean up to reduce the size of the company file.  It is taking too long to back up.  Has not been condensed since 2005

Hi Megan,

We do not recommend making use of the Clean Up Company Data function if you had not previously performed a Verify Data / Rebuild Data / Verify Data operation sequence.

That error message is telling you that the clean up cannot continue since your file has errors.

Restore the backup that was made before you went ahead with a clean up/archive operation.

Perform a file integrity check and do not proceed with clean up until there are first no errors detected during a Verify Data operation.

How large is your current company data file?

How often do you backup?

How often do you include a full verification as part of the backup process?

Once you have performed the file integrity checks, if you still find errors you can submit a copy of your data file to undergo analysis by the Data Recovery Team.

Thanks, our company data file is quite large, takes a long time to back up.

Backup as least twice a week

We run a full verification as part of the backup twice weekly. Never ever errors

Could it have to do with the fact the transactions are very old from 2005.  When did Quickbooks do a major change to the platform.  Remember a time you could not upgrade a file unless it had been upgraded to a certain point (version)? Say if you are were running 2005 Quickbooks and wanted to upgrade to 2019.  you would have to upgrade to 2007 then to 2019.  You could not perform the upgrade in one process.

How large is your current company data file?


If there are no errors detected by the Verify/Rebuild functions, then it is more difficult to determine what may be causing the Clean Up to fail.

Yes, data files used with versions older than QuickBooks 2007/08 need to go through the upgrade step up to 2007/08 before it can be recognised by the Reckon Accounts 2008 or higher software.

If you are trying to clean up a large period, try doing it in smaller stages.

Example: Instead of cleaning up all data older than 01/07/2017 in one go, try doing it, year by year.

- clean up up all data older than 01/07/2007
- then clean up up all data older than 01/07/2008
- then clean up up all data older than 01/07/2009
etc

This may pinpoint the period that is causing the problem.

Let us know if you are eventually able to get through the Clean Up process by doing it in smaller stages.

Just cleaned up to 30/06/2006 and worked :)  Will continue cleaning up year by year.
