If you have exported an IIF file from a Payroll Premier and are encountering a problem during the import of that file into your Reckon Accounts desktop or hosted company data file it could be due to the following:
The Payroll Premier export file (IIF) has:
a) an employee name with an employee number, whilst the same employee name in the Reckon Accounts company data file does not have an existing employee number. (i.e. blank)
b) an employee name with an employee number, whilst the same employee name in the Reckon Accounts company data file has a different employee number.
IMPORTANT:
1) Reckon Accounts 2019 Desktop / Hosted requires all employee records to have a unique employee number
2) Any import file containing employee records requires that all employees have an employee number
3) If there is an Employee name in the IIF import file and it has an exact matching name in the Reckon Accounts company data file it is being imported into, both need to have identical matching employee numbers.
You will need to check your Payroll Premier employee records as well as the Reckon Accounts employee records.
In the Reckon Accounts software go to the Employee Centre.
On the left-side pane go to the Employees tab to see all your employees listed:
Ensure that you display both the active and inactive employees on the pane by selecting All Employees in the View drop-down list, instead of just Active Employees
- right-click on the Name header area to bring up the context menu
- select Customise Columns
- then select Employee No. from the Available Columns list
- then click the Add button so that the Employee No. will appear in the Chosen Columns list
- then press the OK button to save the changes
Now you can see Employee No. appearing beside the employee name on the same left-hand side pane.
Check the list to confirm if there are any duplicated employee numbers.
Edit each employee and ensure that the Employee No. is unique for all the employees.
Once you have made the appropriate changes in both the Payroll Premier and the Reckon Accounts software you can then export the IIF from Payroll Premier and then try importing the IIF file again into Reckon Accounts.
