Recommended procedure when changing passwords on Reckon Accounts Hosted

Find below some recommendations for when you are changing the Admin password for a company data file on the Reckon Accounts Hosted platform.


1) Ensure that all users are logged off the specific company data file

Have all users perform the action - click the File menu then click Close Company/Logoff


2) Open the company file once more and login as the Admin user

- Click the File menu then click Open or Restore Company

- Now login as the username Admin user using your currently known password (if one is set)


If it does not allow you access then the password is not the one for the default Admin user record. When you are logged in to a company data file, you can look at the User List to see which username has the designation "(Admin)" alongside its name.


Click on the Company menu

Select Users

Select Set Up Users and Roles or View Users



3) Create a backup of the company data file before changing the password

- Add a suffix or prefix to the backup file name to indicate that it is a backup of the file prior to the Admin user having its password changed

Example: 

Before PWD Change < today's date> – My Data File Name.QBB

4) Just before you about to change the password

- Write down the current password, clearly label this as the old password 

- Write down the new password, clearly label this as the new password

- Commit the new password to memory

 


5) Set a new password for the Admin user

- Click the Company menu and then select Change Your Password


- Take note of the state of the Num Lock and Caps Lock keys on the keyboard since passwords are case-sensitive

- Change the password to the new one you want to now use


6) Log off the data file 

- Click the File menu then click Close Company/Logoff


7) Open the company file once more and login as the Admin user

- Click the File menu then click Open or Restore Company

- Login as the Admin user using your newly created password


8) If a problem occurs and it does not allow you access, you can restore the previously created backup set.

 example: “Before PWD Change < today's date> – My Data File Name.QBB

9) If you are able to login successfully, make a new backup of the company file

- Add a suffix or prefix to the backup file name 

Example: “After PWD Change < today's date> – My Data File Name.QBB

You now have backup copies of your data file from before and after you have changed the password.
