Inventory and sales orders

Calling all inventory experts!
We are a food manufacturing company who want to come up with an easy way to keep on top of our inventory. At the moment we enter invoices, check what items are in negatives in the inventory, hand write it out and tell the kitchen what to make, then we create a purchase order and receive the stock so it's up to date.
This is becoming quite a timely task... we have to constantly look at the inventory when orders are entered.

Does anyone have another way they control their inventory? Is there a simpler way than this? Is there an alert we can get when a certain product gets under a certain amount?


Our item list is quite long now, I know you can go into each item individually and make it inactive (can't delete if it was used within the last 12 months) but ALL items active or inactive still show in some sections of reckon.
