Uploading files to accounts hosted

I am new to using Reckon Accounts Hosted.  Am I correct in understanding invoices etc can be uploaded and stored in Reckon?  Can they be attached to the created bill somehow?

    You can store documents in the Q or B drive but I don't think they can be attached. I could be wrong though

    Thank you, Eric.  In theory, I could create files of suppliers etc under the B drive and save them there?  All in the aim of going paperless, but having a secure, reliable base to store

    Hi Sheryl

     

    Reckon Accounts Hosted (RAH) is accounting software rather than document storage, accessed online via Reckon’s secure servers.

    In RAH, you can create forms (Sales Orders, Estimates, Invoices, Sales Receipts, Purchase Orders etc) & each can be:

    • Printed
    • Saved as a PDF   &/or
    • Emailed direct to your customer or supplier.

     

    When emailing, some RAH users choose to add their own email address as default in the bcc or cc so that they automatically receive the form via email too & may create separate subfolders for customers/suppliers in their email Inbox.  If you want to take it a step further, you can utilise “Rules” in your email mailbox to have such emails filed automatically.

    Alternatively, some just create separate customer/supplier folders locally on their own PC & some choose to do both J

     

    Because RAH isn’t “cloud”-based (like online banking for example), you can only access Reckon’s Q Drive (the main drive for your company file & other export files) & B Drive (where backups are stored) via RAH so this would be rather inefficient in terms of speed, space & accessibility for bulk document storage, requiring constant upload/download.

     

    Have you considered utilising a specific cloud storage solution like Dropbox or Google Drive ?

    This is not entirely correct, you cannot attach bills via reckon hosted like you can MYOB, there is an addon you can obtain see link below;

    Thank you for your reply.  Our office is going paperless, as are most businesses.  I am new to Reckon and therefore trying to determine the best option for the business.

    I am researching options for secure document storage.  Am I understanding correctly that I should be saving externally from RAH Customer invoices etc?  I would like to better understand the different versions of Reckon Available.  RAH is what the business uses, but maybe a different version is more suitable....

    I would open a new folder on your comuter and scan any docs you want to save, this can be stored on any sites like gmail or one drive.

    Hi Sheryl

    I have gone paperless in all clients business and use Google drive it is 15GB free it syncs to your PC via backup & sync program, and you can have more than one google drive if you have more than one google account, both syncing to the PC.

    Dropbox and Onedrive only have 2GB free.

    Set up like a filing cabinet - Company > Insurance current, Vehicles, Employees, etc >Archive 20xx > customers, suppliers, ATO etc

    I currently save everything to my computer in designated files.  We are wanting access from anywhere, so looking at secure cloud options.  I had hoped RAH offered that facility somehow.  Thank you so much for your reply

    Hi Kevin.  Inexperience is why.  I have been out of office management for a few years and just coming back am looking at all options.  The biggest concern we have as does anyone, is security.  How to fully trust the cloud and go paperless.  At the moment, we are paperless but saving to the hard drive and backing up.
