I joined a new user to our datafile, chose a role , a username and password. When he tried to log in, it gave the message that the username is not recognised. There was no place to add an email address to the role.
Have I missed a step?

I'm assuming you mean within the actual Company File? (You can create Hosted Users as well as specific Company File Users ....)
If you're referring to within the Company File, you can go in & view Users as the Admin so I'd suggest having a look at the User list - There may have inadvertently been a space or extra character entered during setup.
To view Users, click on Company (along top toolbar) > Users > View Users
You can see & edit - if necessary - the User details there
