Good Afternoon

Ive made an error with payroll but ive replaced file twice(was having a bad day)

  • Now it wont let me replace it a third time as i get this error message "We were unable to process your submission because the file you wanted to replace has already been replaced"
  • Ive rang ATO but they have said to contact Reckon, is anyone able to help?

    Hi Rachel

    Don't panic! STP just updates YTD balances each time you lodge a submission (rather than reporting just that pay run) Therefore, if you've now remedied the error - & it's for a current employee - this correction will automatically reflect when you lodge your next standard pay event submission 😊

    Sorry im not completely understanding. I did a payrun on 25th oct, then i did a full file replacement as it was incorrect so it replaced that payrun, i then had to do another as there was another error and it wont accept as ive already replaced a full file replacement for that period...

    So, when i did monthly payg through ATO it alerted me that it didnt match ..

    I paid the amount to ATO that was in reckon anyway, so will this all just correct itself?

    Im so confused and worried at end of financial year it wont all match up because of that one payrun

    Please don't worry Rachel.

    The ATO's prefill feature is VERY new & is often incomplete/incorrect. Therefore, you need to report what your payroll reflects & override this prefilled data if need be (which is exactly what you did 👍️ )

    It will indeed correct itself 😊

    This is a basic example of how the submissions work (These figures are for example only - Every column is reported in this way but for simplicity, I'm just showing the Gross & PAYGW components only here):

    STP Pay Event - Submission 1 - 07/11/23

    • Gross $ 1,500 PAYGW $ 315
    • Actual STP (YTD) Reporting = Gross $ 1,500 PAYGW $ 315


    STP Pay Event - Submission 2 - 14/11/23

    • Gross $ 1,250 PAYGW $ 275
    • Actual STP (YTD) Reporting = Gross $ 2,750 PAYGW $ 590


    STP Pay Event - Submission 3 - 21/11/23

    • Gross $ 1,950 PAYGW $ 380
    • Actual STP (YTD) Reporting = Gross $ 4,700 PAYGW $ 970


    If I needed to correct anything in Submission 3, once amended in my payroll, my next submission (# 4) will reflect those changes in its YTD totals 😊


    So .... each submission just updates the YTD totals, it's NOT reporting each individual pay run's breakdown. We can see the full breakdown on screen but that's just how the display is designed for the user, the STP process is just a continual "updating" of balances each submission.

    Therefore, the option is there to submit corrections but it's not essential, particularly if the same employees will be in subsequent submissions.

    TIP: It's important to check your figures BEFORE each submission - I have specific reports I have memorised for relevant submission frequency (eg weekly, fortnightly) as well as one for my Finalise Year. This ensures every submission is correct & will still be so when finalising.
