#TipTuesday - Upgrading your company file


When opening a company file in Reckon Accounts 2025, you might see this message:
Your data file needs to be updated to work with this version of Reckon Accounts…
Don’t worry, this simply means the file was created in an older version of Reckon than the one you're currently using. In today’s #TipTuesday, we’ll explain what this message means, who can upgrade the file, and how to handle it.
🔐 Understand Who Can Upgrade the File
Only the Admin user (i.e. the user account that originally created the company file) has permission to perform the upgrade. Even if you login with a user that has have full access rights, you will not be able to upgrade the file until you sign out and sign back in using the Admin account.
To check who the Admin user is, go to: Company > Users > View Users
🚨 In most cases, the Admin username is simply "Admin", unless it was renamed.
🚫 Not the Admin?
If you're not logged in as the Admin, you’ll see a message telling you that only the Admin can upgrade the file. In this case, contact the Admin user and ask them to log in and perform the upgrade.
🔄 How to Upgrade the Company File
Once you're logged in as the Admin user, upgrading the company file is a simple process. Reckon will guide you through the upgrade after opening the file which involves:
- Creating a backup of the file
- Confirming that once the file is upgraded, it can no longer be opened in older versions of Reckon Accounts
