Hello,

Is there a cap on how big a Hosted data file can be? Currently our is 1.3GB.

Before we used hosted (ie. we used desktop) we would always create a new data file every two years as the program would run too slowly when the file was based on our local server. I have noticed a big improvement since moving to cloud based storage with Hosted.

Ideally, I would love to not create a new file as it does bring headaches working in two files for the following two to three months whilst clearing off old transactions. But I am concerned that there is a cap and if you hit it at the wrong time of year, ie. not a clean break like a financial year end that it would be very messy from an accounting perspective.

I wouldn't think there is actual limit but I'd suggest you'd still want to have it as small as possible to keep things moving and working well.

Did you start a new file when you moved to Hosted?

For large files such as your being over 1GB, it becomes quite cumbersome to perform the regular backups on the Hosted platform (or the built-in file integrity checking functions)

Instead of using the built-in backup function, the recommendation is to:

Get a copy of the Reckon Accounts Enterprise (Single-User Licence) that you can request from the Customer Service Team
Install that Reckon Accounts Enterprise software on your local computer
Use that local installation to perform tasks such as performing the file integrity check (Verify Data)

We've seen files at the 4GB size still functioning.

However, once it gets close to 2GB it may be a better option to use the recommendation above versus continuing to use the file past that 2GB point.

Since users with large files tend not to create backups using the built-in backup function (as it may take hours or result in the Hosted platform timing out), it is important to have backups (copies) of your QBW file that you periodically download from the Hosted platform onto your local computer, storing them there as backups in the event that your file on the Hosted platform experiences any issues that renders them unopenable.

No, we started using Hosted in July 2021 and imported an existing file but then created a new file on 1/7/23.

@Datarec So I would be then running the verification/backup on a local PC (for example when we have to do the file upgrade to the new financial year version). I would have thought this would be slower than running it via Reckon Hosted as my PC has a lot less power than Reckon's servers.

Currently, I bring down a copy of our file from the cloud on a daily basis and store it on my pc. Just in case, as you say there are any issues with the version on Reckon's server.

Whilst your local PC may have less power than the Hosted servers, performing the verification on a copy of the data file that has been downloaded means that:

you would not experience time-outs on the Hosted platform whilst the verification/backup is taking place especially if it take more than 1 hour to complete
it would allow use of the data file on the Hosted platform once a copy of the data file has been downloaded, instead of waiting for a verification/backup to take place on the Hosted platform

NOTE: Reckon Accounts Hosted is actually Reckon's desktop Enterprise version ("Reckon Accounts Enterprise"), 'hosted' on Reckon's servers (hence the name!)

You can check all your file component volumes/count totals by pressing Ctrl + 1 simultaneously on your keyboard, whilst in your company file :
