Payroll Item List "Account ID"

Hoping someone can help. After doing the latest webinar for EOY payroll I thought I'd go through some of the checks to make sure I'm Super Pay Day ready. I found in the PAYG Tax line the "Account ID" column shows our old ABN which I had changed 4 years ago. I updated the ABN in the Company Information "Tax Rego ID" and the Supplier - Australian Taxation Office in the Tax Agency Info tab.

I have even completed a "Verify Data" check with no errors found. Can someone help me find where the old ABN is coming from?

if you view that payroll item can you see it in there and change it. Otherwise look in the supplier list for the Australian taxation office and check all the tabs

Hi Kris I tried that and there is no where to update it from the Payroll Item List and the ABN is correctly shown with the new ABN in the Supplier information - Australian Taxation Office in the Tax Agency Info tab.

I don't know where else the ABN could be held other than in the supplier and company information.

I would think as long as the correct ABN is in your clearing house it’s just a glitch in Reckon

I've been submitting the STP to the correct ABN/Entity since setting it up. I wouldn't have noticed it anyway if it wasn't for checking all the super items are correct ready for pay day super. I've set up a new clearing house before the ATO clearing house closed but haven't done a payment yet as not due. I was able to get the June quarter in before the ATO closed. I'll speak with support next week if they can find why it's not changing, thanks for your help.

Yes I checked all of those, Supplier and Company Info, all showing the correct new ABN. There may be a legacy somewhere as I had made a copy of the company for the new ABN details so I have two distinct company profiles and back ups just in case I need to go back to items with the old ABN.

I’m guessing the PAYG payroll item is created when the file is created, as you can’t create a new one the traditional way, so it probably comes from the original ABN

That makes sense but there should be some synergy with the company information and all reports/lists. Something for another update perhaps a checklist for any significant company information changes such as an ABN/ACN etc or anything that is tied up with ATO information?? I'll suggest this when I speak with support.

there are some things that just can’t be changed in Reckon as it is the original QuickBooks code that was in place before it became Reckon and it is complicated apparently. This is why Reckon One was created, brand new and constantly being updated and improved

Then how does it work if you have multiple company profiles? The ABN would be different for each of them and that info should follow through each profile. I think it maybe how I had updated the company information when we changed the ABN. I simply saved a back up of everything and every template etc then just changed the information where it needed to be updated.

Interestingly, I hadn't noticed this as I never have that column displayed in my Payroll Item Lists 🤔

When I show that column in mine, it shows my ABN there & the sample file shows its ABN there also. As the Account ID is not an accessible field within a Payroll Item setup, it appears to be automatically reflecting the original ABN that was entered at initial file creation.

2 things though …..

As far as I'm aware, that field isn't actually reported anywhere & therefore doesn't impact anything (hence why I never bother displaying it !)

I'm curious why your ABN was changed ? 🤔🤔🤔 This is normally due to creating a new entity (eg changing from a sole trader to a partnership) in which case, you would want to start a new company file for it because it will have its own reporting/lodgment obligations, separate to the other original entity 😬 (This may be why the Account ID field isn't accessible or editable - as ideally, it should only ever have one ABN attached to it)

We changed ABN about 4 years ago from a 2 trust partnership to a straight 4 way partnership. So the entity did change but nothing else of our business had changed, every supplier and customer was exactly the same. As that years STP and tax obligations needed to be lodged with the different ABNs due to the end date I completed all the reports needed and submitted for the old ABN then simply changed the ABN in the company information and updated the templates. Last week I did run a Verify Data to check if any errors and there were none so that's when I've reached out to the community.

We are only a very small business, so didn't think it worth while to set up a new company. However is that something I should do now anyway?
