Migrating customer and bill data to a new company

Hi,

I have recently changed my company structure from a Pty Ltd business to a Sole Trader.

Rather than enter all my customer information and Bill information again from scratch, as nothing has changed, is there a way to migrate all that information from the existing company to the new one

Hi @DavidBradshaw1,

If you are to retain all your information and just changing your structure, it would just be better to make a backup and go into the company details section and update all the information there. This would be easier instead of trying to move all the information to a new file creating more work for yourself.

If you need to move info from one data file to another, you can export list data from Reckon Accounts Desktop in IIF format, follow the steps below.

Step 1 – Open Your Company File

Launch the program.
Open the company data file that you would like to work with.

Step 2 – Navigate to the Export Option

From the menu bar:

Click File.
Select Utilities.
Select Export.
Click Lists to IIF Files...

Step 3 – Export Each List Separately

Each list must be exported individually and saved to a known location on your local hard drive as a plain-text, tab-delimited IIF (Intuit Interchange Format) file.

For example:

Chart of Accounts List
Customers List
Suppliers List
Items List
Employee List

Select the required List type(s).
Click OK.
Save the IIF file.

Once you have exported the Lists, you can create a brand-new empty file.

Then import the lists into the new file.

Navigate to the Import Option

From the menu bar:

Click File.
Select Utilities.
Select Import.
Click IIF Files...

@DavidBradshaw1 It's very important to create a new company file for a new entity because each has a different ABN, obligations & reporting requirements !

As per @Datarec, you can export all your Lists however, this doesn't transfer transactions. It can be done, but you would need a 3rd party tool for that. If the transactions are minimal, it's probably simpler, quicker (& cheaper!) to just generate a report of these from the Company entity, enter them into the ST file instead, then delete them from the Company one 😊
