STP Replacement Files

Hi, I had to amend payroll after already uploading the STP file. I uploaded the new STP File as a replacement file. However on the ATO portal, the old payroll file is still there, thus showing that I have done 5 pays in the month of Feb instead of 4. When I have re-lodged a STP file previously - the older STP file usually disappears. Is this a glitch on Reckon or the ATO? Is there now something new to do if re-lodging a STP file??

I’m not entirely sure how it usually appears on the ATO portal, one of our accounting partners may be able to confirm, but Single Touch Payroll is reported on a year-to-date basis and not per pay, so as long as your latest pay event submission was successful, your YTD balances should be up to date.

From my knowledge, its not possible to delete or undo an STP submission, as the ATO retains them for audit trail purposes.

no the old file doesn’t usually go away but the figures that are uploaded are YTD figures, so it would have replaced the original figures in your first upload

Thanks and yes I know that part but when I log into ATO Portal to lodge the monthly PAYG/BAS - the portal is showing eg 6 pays in February instead of 4 and the totals dont match what is to be lodged and paid. I have lodged and paid as per my Reckon totals and double checked the YTD totals and they match but ATO Portal is showing differently.

What I would like to know is if I lodge a payroll as a "Replacement" for that week, then why doesnt the ATO Portal recognise this? I have checked with our outside Accountants and they see what I see - more payroll entries for February than there actually was and saying we owe double of what has been withheld??

Thanks for the clarification, I think I understand now.

The ATO prefill only looks at Employer data in the STP submissions. I recommend taking a look at this post about STP submissions for PAYG and BAS. It goes into some more detail and also links a article on how to correct it.

Ah yes I know what you’re referring to, just overwrite the figures when you lodge the BAS

Kris - Thank you - I overwrite the figures when I lodge the BAS - then that is when I get an email from our outside Accountants - who check the ATO portal for our lodgements and ask why the difference or why have I lodged 6 payrolls instead of 4?? Could lead to some questionable accounting and fingers being pointed at me when I have done the correct thing because an employee didnt lodge his timesheet on time and asks the boss to pay him today because he cant wait, so I have to pay that employee and re-lodge STP again. Hate having to remember to lodge it at the end of the day just in case someone forgets their timesheet. Dont know why the ATO cant update itself if a replacement STP file is lodged. So what happens if the ATO contacts us or our Accountant and says - Oh you didnt pay the correct PAYG for the month of February - you paid $ x and it should have been $=xyz - What then??????

This isn't a Reckon problem, the same thing happens with my clients who use MYOB and zero.

They're using prefilled balances but don't take into account any alterations. As for why they do it that way, you'll need to ask the ATO but when it comes your accountant, that's what you pay them for, to make sure it all matches.

We sometimes find ourselves in a similar situation where a staff member takes their sweet time to send in their time.

In those cases we just run a pay for that one employee only and send the STP for them There's no need to replace the old previous payroll unless you're correcting something else as well

@tok Unfortunately, this is an ATO limitation - Unlike Reckon's portal for STP submissions, the ATO's W1/W2 prefill feature is NOT in real time. Their prefill system is also unable to update for any subsequent changes made (eg Update Events or Full File Replacement submissions)

This is why the ATO added the small print stating to refer to your own payroll records & update W1/W2 manually if necessary :

Also, don't bother viewing the STP reporting link shown there either - Again, this is NOT in real time & is unable to display accurately !
