TERMINATED/ARCHIVED EMPLOYEE KEEPS POPPING UP IN PAY RUN IN RECKON PAYROLL

Hi Team,

Something strange is going on with my pay runs and it started this financial year.

When doing my first pay run for 2026/27 financial year the terminated/archived employees from last financial year appeared in my pay run. I had to delete them from the pay run and archive them again.

Last week, one of the terminated/archived employee popped up again in the pay run, so I deleted him and archived him.

Now today, this same employee popped up again in my pay run. I had to repeat the same procedure as last week. I do "Copy pay items from last pay run" when doing the pays, is this the reason why he keeps appearing even though I archived him?

He is not in the active employee list when doing the pays.

Help on this would be appreciated.

Hi @JEN

Just to clarify, when you're creating your new pay run, does this employee appear in the Employees in this pay run list and if so, are they ticked prior to clicking the Create button?

Hi Rav,

To be honest, I didn't look for his name before doing the pay run as I didn't expect it to be there.

I just went in to payroll and had a look at the employees in the list. His name isn't on there.

Sorry, I didn't see you had edited your previous reply with the update.

So just to recap so I have an understanding -

The employee is terminated AND archived
They don't appear in the Employees in this pay run list when you create a new pay run
But they DO appear in the pay run creation screen ie. after you click the Create button

Is all the above correct?

Does the employee appear consistently each and every time? ie. if you were to create a dummy pay run now like you'd normally do usually, do they appear in that dummy pay run?

Hi Rav,

All the bulletpoints you mentioned above is exactly what was happening.

I just created a dummy pay run and scrolled through all the employees on the list until I got to where his name would appear if he was still at work. Thankfully it wasn't there.

I will keep an eye on this and report back if occurs again.
