Bulk update employee records

I am looking for a way to bulk update employee records. We use a separate system for our employees timesheets and import the timesheet data into RAH to process payroll. We need to update the hourly rate for employees each year when the award rates update. Is there any way to do this via a bulk update rather than updating each employee manually.

We are able to import general journals via an IIF file, and we import the timesheets via an IIF file, so I'm hoping there may be similar functionality to update employee pay rates via a similar upload function

Hi @Anthony_10861832,

Unfortunately, I don't think it's possible yet.

You can export an employee list, including pay rates, by navigating to:
File > Utilities > Export > Lists to IIF Files > Employee List.

You could then edit the employee's pay rate in the IIF file, then import the updated list back into Reckon via:
File > Utilities > Import > IIF Files > [Select your updated file].

This successfully updates the pay rates. However, due to the format of the IIF file, I think using a tool or script may be necessary, especially if you need to make bulk updates.

*Also, make sure to back up your company data file if you try this.

If anyone has other ideas, I'd love to hear them!

Hi @Anthony_10861832, I think the solution given by @Jason_Z is actually spot on.

Since you're already using IIF for data imports, you're familiar with the format. If it's just about updating rates, the simplest approach is to export the full employee list as an IIF file, update the rates directly in that file, and then re-import it. This method requires minimal effort and works effectively.

We use Reckon Desktop and have just tried this but the iif did not update in the data file. Perplexing. Exported all the data and changed only the pay rates, saved the file, imported the updated iif and …. nothing :-(

Now have to go and update manually for 40 odd employees with varying rates per person GRRR

Hi @support.pharmhouse, sorry it didn’t work for you, but it should work if the file is modified correctly.
I suggest testing it by editing only the first employee.
Please open the file in Excel to ensure your changes don’t break the layout.

Yep did that - opened in excel - no change to the layout at all. only the payrates were changed. saved file in it's original format.

Create a blank new data file and enable the payroll preference
Create a test employee record with its respective payroll items and pay rates
Export the Employee List including the payroll items as "ORIGINAL - Employee and Payroll Items.IIF"
Open that in Excel
Save the changes as a tab-delimited text file with a slightly different name as "MODIFIED - Employee and Payroll Items.IIF"
Import the modified IIF file and confirm whether the changes to the payrate have worked

If it has not worked, provide a screenshot of what specific field (before/after) you had modified.

Thank you -will try that next time we have a bulk update to be done. Had to do it the long way around this time due to people wanting to be paid ;-)
