Memorise drill down reports

How do I memorize a drill down report of various jobs? I have tried to do this but all the jobs are put in one ledger account rather then job by job. This makes it very manual intensive, Each month I have to export the drill down ledgers for each job one by one to an Excel work book for each client. Any suggestions?

So it's finding the right report you need help with rather than how to memorise it ?

There are a number of default reports you can use - depending on what particular detail & format you want - or you can create your own. What specific information do you want to see? Account/Item summary or line by line transaction details?

I can produce a memorised P& L report of different jobs for a particular client on a monthly basis by just altering the date. But have not managed to produce a memorised report of the income & expenditure (draw down) for each separate job. What I achieved so far was all the income and expenditure of all the jobs appearing under one ledger item.

You just need to click on Modify Report & on the Filters tab, select Name in the Filters list & just select the one customer:job that you want. It will then display just for that customer/job only.

If you then drill down on the Net Income total, it will then display the detailed transaction lines per account (again, for just that customer:job only) 😊

Yes that is what I do now for every job but when each customer has several jobs. I am trying to export one report with Income & expenditure for each job in one spreadsheet rather than go job by job as I am doing now which is labour intensive. I am trying to find a more efficient way.

    Hi Borgie

You can choose to display multiple customers/jobs also by selecting the Multiple Names option & manually selecting/ticking those you want included:

I do that already for the P& Ls . That is not the issue here. What I am trying to achieve is display the breakdown of the ledgers for multiple jobs in column format, in one spreadsheet as per the P& L multiple names selected.

    Hi Borgie

I’m afraid I’m not sure what you mean 🤔

A P&L only displays account lines - not just in Hosted but in general accounting. The drill down displays the detailed transactions that make up those amounts.

However, you can also choose to total a detailed report per job. Is that what you’re wanting?

If you’re able to be more specific with exactly what you’re wanting to display, line/column-wise, I should be able to help further 😊
