Invoice Reports

Hi I am trying to create a report showing not just invoices issued and date issued, but showing what date the invoice was paid.

Also in the Window that shows all Invoices, is there a way to add a column showing the date paid? I can see how to Customise Columns but not the date paid, this is frustrating me so hope someone can help me?

Welcome!

@Charley I think Barbara was wanting to see the date paid on a single-line invoice report 😬

@Barbara Allen-Guthrie Just replying here (as well as email so I can include the screenshot for where to click to close the full screen view) 😊 :

This arrow button (highlighted) above toggles between full screen & detail views. If you click on it when view is as shown above, it will display transactions - & filters - as per my original screenshot 😊

If you go to the Customer Register you can see the Invoice date and the date paid. You can pull up a report from the register Customer by customer or go to reports>customers&receivables>customer balance detail

    Hi @Barbara Allen-Guthrie

No good news for you today I'm afraid ...

Unfortunately, this is currently not a specifically available option.

The only workaround I've been able to find is to generate a report of invoices on a Cash basis - The Date on this represents the payment date - then add the Ship Date column. However, this only works:

    • If you don't actually use the Ship Date (eg to record a separate "sent" date) !
    • For invoices paid in full in a single payment

I believe this has been on the wish list (Reckon Ideas: https://ideas.reckon.com/ideas/search?&query=invoice%20paid%20date) for several years but from Reckon's feedback on there, it looks like it's not an achievable option, possibly compounded by the fact that a single "paid date" column wouldn't accommodate part payments 😢

Unfortunately, "Date Paid" also isn't an available column to add in Customise Columns 😣 however, if you view All Transactions (rather than just Invoices) you can see all entries at once. Personally, I always add "Inv No. xxxx" in the Memo of my Receive Payments so it's easily visible here (I have the Memo column added in the Customer/Supplier/Employee Centres):

Shaz Yes I put the Inv also in the memo box also, as well as the due date.

But sorry where do I find the All Transactions report?

    Hi Barbara

Not a report, just the dropdown filter selection in the Customer transactions display list:

When you're in (any of) your Centre lists (Customer/Supplier/Employee) & you click on one of the list names. To the left, displays this list of their transactions 😊

" ... Also in the Window that shows all Invoices, is there a way to add a column showing the date paid ...? (I was assuming this transaction list window was what you were originally referring to)

Ah ... don't select Invoices or Received Payments - All Transactions is the first option right at the very TOP of the filter list:

That is very odd @Barbara Allen-Guthrie - These screenshots I've posted are from a Hosted file.

Yes, please email me the screenshot direct & I'll check it out!

TIP: I use the Windows Snip tool - search for it in your Windows computer search bar - You can just click & drag across the area you want to display. I then click on the Edit dropdown - in the Snip window - & click on Copy, then Paste it (either here or anywhere else like an email, Word document etc)! 😊

    Hi @Barbara Allen-Guthrie

💡💡💡 It's because you're on the Transactions tab. You need to be on the Customers & Jobs tab instead to see these filters:

(I replied the same to your email 😊)
