Moving files in the new Hosted platform

    Here I go again, wow getting over this new system already 🤬

    As the files are not stored anywhere on Reckon Hosted, Reckon staff told me some time ago I need to back my files up often.

    So weekly I have a note to Backup ALL my files, but when I go to find them there are so many I am struggling, so think I might be able to move all of 2024 into a new folder so they are not all sitting on top, so I create a folder called Backups 2024, then tick all of 2024, and then WHAT!!

    How do I move them, surely that would be an action but it is not.

    Help I am finding this really hard to use without decent instructions.😣

    You're right, backing up is a super important step and we encourage users to do so as much as possible.

    When you backup your file, are you saving those backups directly within the B drive or within a folder within the B drive?

    if you are only referring to qbw files I just backup to the b drive and then download immediately

    I have always done to a folder ie May 2025 it used to make it easy to find.

    Kris once you backup to B and then download do you delete from Hosted as I have many pages of files?

    no I haven’t in the past but may delete some files now that it’s a little easier to delete multiple files. Mind you I have mine set to delete after 4 backups so I shouldn’t have a swathe of them anyway, I’ll have to check, but after it has backed up I am asked if I want to delete the earliest backup as it’s set to only keep 4 (I think 4) but I know it’s automatic

    Thanks I did not know you could set it to delete after 4, that would be helpful otherwise I am swamped with files

    I don’t create additional folders I just use B Drive

    Hi @Barbara Allen-Guthrie

    At the moment, the new My Files menu doesn't support the ability to move files from one location to another but that's something we're looking at improving.

    With that said, there are a couple of things you can do

    1️⃣ For any future backups that you create, select the save location as the folder that you've created within your B drive. Check out my screenshot example below where I've selected a folder that I've created within my B drive. Any backups that you create with this selected will be saved directly to that location and appear as such in your My Files.

    2️⃣ If you'd like to move backup files from one location to another such as to a folder within your B drive, try out the following -

    Click File ➡️ Open or Restore Company ➡️ Restore a Backup Copy ➡️ Click Next

    This will open up the classic-style File Explorer that you might be familiar with and should drop you right into your B drive. You can use this to click and drag files into a folder within your B drive if that's what you have setup.

    I've put together a quick little example below.

    Thanks Rav that was helpful, so I now have only 3 folders, but when I open My Files/B is there a way to just see the folders as it still seems to be messy?

    Also Rav the .QBB, QBM, QBW, TGL, ini which ones can I safely delete without loosing the company file

    If you move those Portable backup files (QBM) into a folder then you should only see those folders (unless there any other files in your B drive).

    To move the QBM's follow my steps above but instead of selecting Restore a Backup Copy, select Restore a Portable File (QBM), this will open the file explorer window again and show your QBM files which you can drag into a folder within your B drive.

    Give that a go and it should tidy things up.

    do I need all these files in Q drive I can't seem to put them anywhere

    Those are ancillary system files that are related to your company file. I'd recommend leaving those are they are.

    OK and I cannot park them in a folder so that I am not scrolling through 14 pages to find the one file I want?

    have you noticed the settings box that enables you to view 10 files per page?

    The .ini and .nd files will generate alongside your .QBW file. If they're deleted theywill regenerate again.

    So you could move them to a folder but if your .QBW file is saved in the main Q drive directory and not within a folder, they'll regenerate again.
