EOFY finalisation report and STP YTD report balance don't match

Please see below screen shots of the reports after exporting them to excel:

I have hidden the individual line items as it is too long but these are the totals in the EOFY report.

Below are the totals in the STP report:

If you add the Gross and Overtime together, the STP YTD report is over stated by $3368.06. However, as I said, I have reconciled the EOFY to both the Payroll Summary report and the Employee Earnings Report.

Just having a look now and I can see there is a disparity between the two reports as you've mentioned.

With that said, I can also see a range of negative values for certain items on payslips. I'm not sure what those are related to but I recall you may have raised this previously on the Community quite recently. My gut feeling here is that the STP YTD is being affected by that although that's just my speculation at this point.

Can you give me a bit more detail on this area or anything else around what these mismatched balances could be attributed to.

Also, just to triple check, are the balances that you see in the EOFY finalisation screen correct? That's my main concern as those balances will be the ones sent in your finalisation.

Yes the balances in EOFY are correct and if I hadn't worked off the STP YTD I would never have noticed the disparity other than the other issue I raised about RESC not reporting correctly. In previous years, I had reconciled to the EOFY report - it was only because the Reckon end of year check list highlighted the new STP YTD report that I used that to reconcile.

I have a previous version of the checklist which says to compare the EOFY to the Payroll Summary report.

Clayton Olivers check list also confirms using the EOFY report and to compare to Payroll Summary report:

Yes I suspect it has something to do with the negative figures but I did fix the particular pay run that was causing the RESC issue - it had a negative Annual leave figure. That employee is one of the ones above .

I don't believe I had a negative Annual leave for any other employee through out the year but to go back and verify that over 52 pays will be extremely time consuming.

Which of the employees had the negative annual leave in their pay run? Can you let me know the pay date or pay run name of the specific pay run that contained that negative value?

Hargrave but I have fixed it by removing that negative amount and replacing it with a negative adjustment and resubmitting the payrun to the ATO. That removed the RESC issue I had whereby it calculated superannuation on the Leave Loading. It affected the payrun dated 1 December.

Ok, here's where things are at right now with how I understand it -

I do know that the STP YTD report doesn't play nicely when there are negative values added in pay runs. That's something that only impacts the report itself only and we're going to look into that.

The balances in the EOFY finalisation screen are correct as you've confirmed and those are the balances that are going to be sent in the finalisation STP submission. So my recommendation would be to not let this delay you from sending through your finalisation if you're ready to do so.

Secondly, I do want to get a second pair of eyes to look over your particular case just so I have more of a complete picture on what's happened here and whether the negative value in the annual leave item, which I've noticed is still a negative but now as an earnings item is the main cause of the report showing a variance across several employees rather than just that one.

That might take a little bit of time so I'll keep you posted on that but as I said, your EOFY finalisation is showing the correct balances which is the most important aspect.

Apologies for the delay in getting back to you on this one.

My devs have let me know a fix was rolled out in Reckon One's latest release for the STP YTD report when negative balances are included in pay runs.

This should correct the issue you were seeing in your STP YTD report but when you have a chance, could you take a look and let me know?

Thanks for getting back to me - I noticed this had been addressed in the latest release which is great.

I still have a difference though between the Gross and the Overtime figures - they are under and over by the same amount. The STP report has the Gross understated by $897.33 and the overtime overstated by the same amount when comparing to the EOFY finalisation report. All the other figures align.

My devs have been looking into this one and I have an update with a couple of things I need to share with you.

Firstly, this should now be resolved and the STP YTD report and EOFY finalisation should now match 🙂

Secondly, the cause of this was due to negative balances for gross pay and overtime items being entered which it seems resulted in these issues. This is going to be addressed on our end, if it hasn't already by our devs and your specific case is sorted.

The other thing I'll add though, you previously mentioned above that the balances in the EOFY finalisation were correct and the STP YTD report were the ones showing incorrectly which kicked off this post. I just want to triple check to confirm that is actually correct?

The reason I ask is, during the investigation that our devs carried out, it actually looked like it might have been the other way around as they carried out a comparison with the Payroll Detail report and in doing so, the STP YTD report looked like it actually showed the correct balances. Could I get you to take another look when you can and confirm?

Thanks again to you and your team for working on this for us. And sorry on my part if I made things difficult when processing the pays.

I can see that the STP YTD and EOFY reports now agree. But when I compare with what has been lodged, there is now a difference in the PAYG amount of $163. I found this discrepancy originally when doing my year end reconciliations. It appears in the pay run that I amended for Hargraves from memory, the pay run dated 15 December. When I fixed his, for some reason the PAYG for Richardson recalculated. As Richardson's pay was all settled except for the PAYG, I made a manual adjustment to Richardson's tax so that it agreed to the original pay run. I think when your Dev team fixed the issues for Hargraves in that Pay run, that Richardson's PAYG recalculated again. That will need to be manually adjusted and once done, the EOFY, STP and the Payroll detail reports should then agree. Richardson's tax for that payrun was $1694 but is now showing in the payrun as $1531.

Difference of $163.

Can your Dev team please amend?

So other than the PAYG difference between the amended figures and the old figures, the original discrepancies were between the EOFY being correct and the STP YTD being wrong. I reconciled both reports to the Payroll summary report and the differences were appearing when comparing the STP YTD. If I had never looked at the STP YTD and balanced straight to the EOFY report I wouldn't have noticed the differences. It was just that I was following the Check list instructions to compare the STP YTD report.

The only difference appearing now between the Payroll Detail report and the EOFY/STP YTD reports is the PAYG amount.
