Permission Level Accountant for EOFY

I’m still new to Reckon One. Previously, we used Reckon Accounts Plus and created an accountant’s copy for EOFY. Our new accountant does not use Reckon software, so we moved to Reckon One (cloud) to allow them direct access for reports and EOFY work.

In the past, I entered the EOFY journals myself based on what the accountant provided, as they did not make adjustments directly in the file.

My question is: What level of permission does an accountant typically need in Reckon One?

At this stage, I’ve shared access via “Share with Partners” and am considering:

Administrator - Super User - Limited

The accountant has requested Administrator access. While I’m comfortable with them viewing everything, I’m concerned that this level allows full “carte blanche” access to make changes.

Is it standard practice to:

Grant Administrator access for EOFY work,

Set clear boundaries that access is for viewing/reporting only, and

Revoke or downgrade access once EOFY is completed?

I’d really appreciate any advice or real-world experience.

    Hi @ACMC, welcome back to the Reckon Community and great to hear you're starting out with Reckon One 🙂

    When it comes to sharing and access, Reckon One is really flexible and allows you to customise the access you give to other users. We call these 'roles' in Reckon One and they allow you to provide specific levels of access to others users you share your book with.

    If your accountant is requesting admin access to the book, then yes you're correct it will grant the ability to view but also change anything in the book ie. essentially the same level you have as the owner of the book.

    Ultimately, the decision is yours if that's the level of access you'd like to provide however if not, you can give them a different permission level (role), or you can even create your own custom role with access to specific areas/tasks. You've mentioned your new accountant hasn't previously used Reckon One so it may be more prudent to provide them with view access while they become accustomed to their way around, just my thought and you obviously don't have to follow that.
