@Rob_9593369 I have "Reckon Files" folders on my C Drive that I keep mine in.
I create a new subfolder for each year & copy the files across before upgrading them each year (You wouldn't need to do that though, I only do it so I can access a client's older files, if required 😊):
I try to only ever save shortcuts on my Desktop (for any file) as an IT guy once told me if something happens, you're more likely to be able to recover files from a folder than from the Desktop itself (as you've now discovered 😢) … because the Desktop can't be easily backed-up by default 😬

I always save the file in My Documents, or in a Reckon folder in My Documents. There used to be a default folder called Intuit in My Documents but I don’t know if that still happens.
As Gerry suggests I don’t actually store files on the desktop on a permanent basis but I do have shortcuts to say My Documents or any other folder that is often used.
My main mantra for over 30 years is backup, backup, backup. Weekly, monthly and always after doing a bank reconciliation. I once read years ago that when you have done enough work that you think you would not like to have to do again, it’s a good idea to backup, to an external drive

I’m not quite sure what you are asking but I believe you have got invoices and bills for the same person. If so you can receive the payments and bank to a clearing bank account, and then pay the bills from the same clearing account. If there is a balance to be paid or received it can then be transferred to or from the actual bank account
