How can I add another staff member to RAH and use their own MFA?


Hello, we are a NFP Community based Childcare Centre and have been a Reckon user for over 25 years. Currently I am the only person that does our Centres accounts and payroll. Our management committee has asked that I train another staff member up incase something happens to me.
How can I add another staff member to have acess to the platfrom and using their own MFA?

Thanks so much for being such a long-standing Reckon user! 🙌
At the moment, it’s not possible to add a second user or separate MFA to an existing Reckon Accounts Hosted login. Each Hosted user login is designed for one person, with its own unique MFA setup and we're required to enable MFA at the login layer as part of the ATO's security mandate for STP.
If you’d like another staff member to have their own login credentials (and their own MFA), you’ll need to set up an additional Reckon Accounts Hosted licence for them. You can then share your company file with this new user which allows them to work independently and securely.
Granted, that may (or may not) be a viable/feasible solution if that additional staff member won't be accessing and working on Hosted regularly but if you have any questions please let me know.

Would the other staff member be using the same computer as you ?
(Unless this option has now changed @Rav ? 🤔) … You should be able to use the Google Authenticator via the PC (rather than via mobile phone) instead.
MFA access will then be specific to that PC's user, rather than an individual 😁
(Disclaimer: This is NOT the permissible intention of MFA, but is just a user-identified workaround!)

Hi, Thanks for that. We are a small NFP Community Centre so can't really afford to buy another licence. Yes, the other user will only be occasionally using it. How do I go about changing the MFA to the PC?

Have just realised you're referring to the Hosted platform, rather than GovConnect (Reckon's portal) so I'm not sure if it can also be used specifically for RAH login also … @Rav 🤔

Rav, can you advise what the cost will be for us to have an additional license? It will only be used in emergency situations where I may be incapacitated.

seems a lot to pay for occasional use. The employee can use your login and if necessary the phone number for MFA can be changed to another number for the necessary period

Some users pay for an additional monthly one (just for the month(s) they need 😁)

Kris_Williams… that would be ok as long as we had notice. At this stage, we only need someone to be able to log on if I was incapacitated for some reason and physically not able to change the MFA authority.
Maybe just buying an addition license if needed may be the way to go as long as I don't have to authorise it any way!

it’s not the license that’s the problem, it’s the MFA - you can’t have 2 phone numbers for the same entity. However you can share the file in govConnect if the second person has a Reckon portal account and a login

I don't understand how going through govConnect will help. My problem is that I need someone to be able to access Reckon Accounts Hosted in order to process our staff's pays when I am not able to. Currently, the file is linked to my MFA .
Any help would be greatly assisted.

yes you are correct Gov Connect won’t help with the initial logging on to Reckon. I know someone who bought a sim only prepaid phone card and used in an old phone and this phone stays with the computer
