Audit Trail


Dear All
- Can you run a report as to whom was using Accounts Hosted if they have View Only permissions?
- If a 'View Only' user upgrades to Version 2023 prior to Admin and therefore not backingup previous year and running reports for 2022 is this going to be a problem?

- Sort of ... You can add the Entered/Modified column on a report to see a date & timestamp for transactions. You can also view the Audit Trail (under the Reports dropdown > Accountant) however both of these options are transaction-based only eg if the user was in RAH but didn't enter or edit any transactions, you won't see anything.
- A View Only user cannot upgrade the file - They would have to be logged in as Admin with full permissions

Ok Thanks Shaz. So my little mystery continues - please let me know then how I can find out if someone potentially has logged in as Admin but not changed any data? And how can I change the Admin password?

Unfortunately, I don't believe it's possible to see that if nothing has been changed 😬
It's easy to add, change or remove the Admin password though - Just login to the file (as Admin) & click on Company then from the dropdown menu > Change Password

Any chance you could respond to my new question this morning re. upgrading file prior to running EOFY reports (no payroll since done on another system). So I'm referring to running PnL report, BS etc.

You can change the admin password by going to the Control Panel in the opening window, Manage Users and click on User Id

Please be aware that the Hosted Administrator login is NOT the same thing as the actual individual company data file "Admin" username, which has its own separate password.
