Reckon Staff How to tell the difference between my Reckon Accounts Hosted password and my company data file (QBW)
There are two levels of password authentication to consider with regard to the Reckon Accounts Hosted platform and the individual company data files (QBW) that are used within it.
The first level is where you use the login details for the Reckon Accounts Hosted platform.
This is the login screen that you would see when you visit the Hosted website.
If you are unable to access your hosted account subscription, you can use the "Forgotten username" or the "Forgotten password" links.
How to change a user password in Reckon Accounts Hosted
You can purchase a single Hosted account subscription and use that to manage multiple company data files. You would therefore have a single Hosted UserID or Username.
Example:
Reckon Hosted User ID: 1234567-1
Reckon Hosted Username: jamesbrown
Where 1234567 is your Reckon Customer ID and "-1" indicates it is the first Hosted account linked to that Reckon Customer ID and its linked username is "jamesbrown".
You can purchase multiple Hosted account subscriptions and use that to manage multiple company data files or just a single company file that is shared among your multiple subscriptions.
UserID 1: 1234567-1 | Username: jamesbrown
UserID 1: 1234567-2 | Username: ricksanchez
UserID 1: 1234567-3 | Username: mayparker
UserID 1: 1234567-4 | Username: sallyshields
The second level of access control is with respect to any individual company data file being used within the Hosted platform.
This is the login screen that you would see when you attempt to access a specific company data file that requires a password to be entered in order to be accessible.
This means that if there are 5 staff members, there would likely be at least 5 or 6 usernames and associated passwords set up.
Admin - this is the default administrator username that has full access to the data file
User 1 - this may be a username that also has been set up with full access
User 2 - this may be a username that has a high level of access, but not full access
User 3 - this may be a username that has a medium level of access and also reporting access
User 4 - this may be a username that has a medium level of access but no reporting access
User 5 - this may be a username that has a lower level of access, such as bill entry only
To remove or reset the Admin user password for a specific company data file, you would need to submit that file to us to undergo the password removal service.
We recommend that the person who is the designated administrator, have in place a system to keep track of what the Admin password currently is and what it is changed to.
What is the recommended procedure when changing passwords?
If there are 4 separate company entities being managed, then there would be 4 separate company data files.
Each company data file will have its own separate Admin username/password along with any additional users as described above.
For multiple Hosted UserID's to access a specific company data file, that file would need to be shared with all the specific UserID's.
