#TipTuesday - How to fix the 'You don’t have permission to access Reckon Payroll' error?
Running into errors while trying to stay on top of your payroll submissions can be frustrating.
If you are encountering a You don’t have permission to access Reckon Payroll error while trying to use Reckon Payroll that can be frustrating, especially when you’re trying to stay on top of your payroll submissions. Fortunately, this issue is very easy to resolve if you follow some easy steps. Below, we’ll walk you through the possible causes of this error and the steps you can take to fix it.
Why am I seeing this error?
This error message normally appears when the book you are trying to access lacks the necessary permissions to access payroll. Below are a few common reasons why this error message can appear:
Branch number missing in your book settings.
In your Reckon One book, click on Settings ➡️ Book Settings ➡️ Scroll down to the Branch Number field ➡️ Enter the correct GST branch number for your ABN ➡️ Save
If you don't have a GST branch and only one ABN associated with your book then the default branch number is 001.
Try logging out of Reckon Payroll and log back in.
If you continue to encounter the same error then move on to the below.
Incorrect user role/permission
If the role you have logged in with does not have enough permission to access payroll then this error can appear. The role has to be administrator and payroll administrator to the Reckon One book which is associated with Reckon Payroll.
To check if you have the Admin and Payroll Admin role to the book follow the steps below:
- In your Reckon One book click on the Settings cog icon in the top right
- Click Users
- Add Admin and Payroll Admin role
You don't have access to the STP entity
The owner/admin of the STP entity registered in GovConnect needs to share the STP entity with you. If you have access to Payroll only but not the STP entity then also you will come across this error message. You need to make sure that you have access to both the Reckon Payroll book and STP entity to be able to access payroll without any issues.
To be able to how share an STP entity please follow the steps below:
- Select the menu button on the top right corner of the Reckon GovConnect tile then select Share with User
- Enter either the desired users Username or Email Address and confirm by selecting Save
- Once confirmed, you will receive a success or failed message depending on whether the user is an existing user of the Reckon Portal or not.
- If the person is not a valid user they will need to sign up to the Customer Portal.
I know this is turning into a bit of a saga, but bear with me for just one more thing if the issue still isn't fixed..
Refreshing the role and permissions
Sometimes, refreshing the roles and permissions can help resolve these errors. To refresh them, follow these steps:
- Open your Reckon One book.
- Click on Settings in the top menu
- Click on Users
- Select the user whose role you want to refresh by clicking on the name itself.
- Untick the currently selected roles and tick the previously unticked roles, then Save
- Log out and log back in
- Go back to Settings and then Users, untick the role options you just added and re-select Admin and Payroll Admin before clicking Save.
This should resolve the issue.

I am a previous Payroll Premier user and I just logged into our old software without any trouble.
You are right that the software should still be available for read only purposes. I wonder if your data file is possibly corrupted?

My dev team have been investigating the issue you were encountering this afternoon however unfortunately, there weren't able to reproduce this in their test book.
They wanted to know if you would be ok with them adding some data into your Reckon One book just for testing purposes only so they can observe the item price behaviour. Any data will be removed immediately upon the conclusion of their testing.
I'll wait to hear from you before we do anything.

Ok, what I've done is put the details of this together into a case and sent it over to our Reckon One product development team to investigate.
I may need to come back to you if they need more info but I'll keep you posted.

Re: Receiving Payments Error
Thank you @Acctd4 I have checked and the second tick box was unticked in company preferences. I am unsure when or how this happened as I do not recall doing this, but now it is checked, the issue is resolved. thnks
Re: Dividend re-investment amount not enough for any shares
The way to avoid the problem is as follows.
If there is not going to be enough cash dividend to allow even one share to be purchased, do not use the 'reinvest - income reinvestment' screen, use the 'record an income event' and leave the cash in the account.

Glad you worked it out 👍🏻
By (correctly) selecting not to affect accounts, all it’s doing is clearing the Payroll Item ITSELF (eg removing this “liability” from displaying on your Payroll Liability reports, as these are driven purely by the Payroll Items themselves, not any accounts they’re linked to. It has no impact other than that ☺️)
