We are using ReckonOne to do our payroll, do we need to upgrade to Reckon Payroll?
Hi we been using ReckonOne with Payrole Lite to process our payroll. When I click on the link at the top to look at Reckon Payroll it says "You don't have access to this book. Please check the account you signed in with" as I assume this is a seperate product.
Do we need to upgrade from ReckonOne to Reckon Payrole to remain STP2 compliant or will you be upgrading the ReckonOne payrole module to be STP2 compliant?
We are only a small business and have 2 employees and a couple of contractors on our books.
Many thanks,
Ben

Hey Ben
Sorry for the delay in getting back to you, was out of office last week.
Can I just clarify where this is happening? Is it when you're creating the pay run itself? ie. when adding in earnings to the employee?
If that's the case, if the employee hasn't worked and doesn't require any pay then its best to not include them in the pay run ie. select which employees you need to pay to include in the pay run.
Screenshot example to the left where you'll see I've made selections to certain employees to include and left some others out.
Or am I misunderstanding where things are going astray?

Hi there @Ben Loke
Yes you'll need to upgrade to Reckon Payroll before 30 September so that you'll be STP Phase 2 compliant but also, its a lot easier to use for your payroll.
In regard to the error message that you're running into, can I just double check.. does the Reckon Portal account that you're logging into to access your Reckon One book also have the associated STP entity for your ABN in GovConnect? Example below -
Secondly, are you the admin or have payroll admin access to the Reckon One book?
Finally, can I grab a screenshot of that error message?

Thanks Rav for getting back to me so quickly. yes I am an Admin of the account and see screenshots below. Thanks for confirming that we need to upgrade to Reckon Payroll. Is there a cost to this? Would we cancel payroll lite once we move over to this?
0 -
Cheers for that @Ben Loke
No there's no additional cost to you at all, your existing payroll features within your Reckon One book is being upgraded to Reckon Payroll (don't cancel your payroll lite module) and that will become your main payroll functionality π. All of your existing employee and pay run data will be available in Reckon Payroll as well.
I'll link some info about the upgrade HERE which I'd definitely recommend you check out.
Now in regard to that error you're running into, that seems to be something a bit odd and our dev team is looking into this at the moment. I've actually run into the same problem on my own test account so its a strange one as others have upgraded fine. I've put this together into a case and send it over to my devs to investigate and I'll let you know once they get back to me with more info.
In the interim, you can continue using Reckon One as you have been for payroll until we've managed to straighten this out.
If you have any questions about the Reckon Payroll upgrade though, please let me know.

Thanks yes I've read through all the upgrade information and watched the videos already but jus't can't get Reckon Payroll to work to take a look at it properly. We'll register and watch the upcoming webinar too.
If you can let me know once the error is fixed by the dev team I will try again.
Many thanks,
Ben

Morning @Ben Loke
My devs let me know they pushed through some fixes late last night which should resolve this problem where you're not able to access Reckon Payroll.
When you have a chance, can you give it another go and let me know if it loads up correctly for you now?
Cheers

Hey Ben
They're actually working on your case as we speak, they just flicked me a message on it a couple of minutes ago so hopefully I get some further news from them to share shortly.

Hey there @Ben Loke
My dev team have just got back to me in regard to your case and have let me know it should now be resolved for you.
If you try and access Reckon Payroll when you next have a chance it should work for you without issue.
Sincere apologies for how long its taken to get this sorted, it seemed like the cause was a bit more complex than the devs originally thought.
Let me know how you get on.

Thanks Rav, yes this seems to be resolved now and can login and see the opening screen. I will have a look at the setup over the next few days. Thank you kindly.

HI Rav,
Just a question. I have a contractor who I set an inactive (terminated) as he moved overseas in 2020. I re-hired him in March 2023 so set him to active in Recon One but in the new Reckon Payroll he status is still showing "Terminated". How do I fix this?
Many thanks,
Ben

Hey @Ben Loke
If you go to this particular employee's profile in Reckon Payroll and check their employment info, is there a termination date appearing in their profile?
Screenshot example to the left.
If there is, remove it by selecting the βοΈ option in the field and then click save.
That should remove that terminated label but let me know how you go.

Hi Rav,
The termination field disabled so I cannot edit it. Any ideas?

Can you do me a favour and sign out of Reckon Payroll (use the sign-out) option in the top right corner.
Once that is done, log back in either directly from the Reckon Payroll login screen or via your Reckon One book and let me know if its fixed up now?
Cheers

Yes thanks Rav that has worked. Is there a reason why his status is Casual while my other 2 are contractor? I cannot see an option to select Contractor anywhere and my other 2 are both set as Causal in the setup screen?

Don't quote me on this but I believe this is due to employment types not being a structured element under STP Phase 1 so there were more types to choose from whereas STP Phase 2 has a set selection of employment types to designate to your employees. Hence why you don't see the contractor and other employment types in Reckon Payroll that were previously available in Reckon One.
Once you start the STP Phase 2 Checklist you'll be required to update the employment type of your employees to an STP Phase 2 employment type. Check out my screenshot example below where you'll see I have an employee brought over from Reckon One with the contractor type which requires updating as part of STP Phase 2.

Hi Rav, we successfully upgraded and went through the STP2 checklist and did our first pay run through Reckon Payroll.
We did however come across one issue during the payrun the other night which wouldn't allow us to select 0hrs against one of our contractors who didn't do any work for us last month. Each time we set the hours to 0 and save it would default back to 1 hour so we just ended up doing a payrun with 1hr against him.
Is it incorrect to set the hours to 0 or is there another way to remove the one of our contractors of a payrun for the month if they have not worked any hours?
thanks,
Ben
