Leave report for auditors

Our auditors have asked for -

Provision for annual leave – a report from the payroll system that includes the following information:       

  • Employee details,
  • opening leave balance hours,
  • leave taken during the year,
  • leave accrued,
  • closing balance hours,
  • rate of pay, and
  • provision at 30 June 2022

Does anyone know of a way of to generate a report that would satisfy them? To me it seems like what they want is a cross between a Leave Accrual and Leave Liability Report which isn't possible.

    Vicki; easy peasy (for once don't listen to Kevin) I do this every year including LSL provision and others, I have a spreadsheet for this which is better kept up during the year but still; call me on 0432 572 206

    Thanks Charley. We've always kept a spreadsheet for calculating AL & LSL provisions too but given they specifically asked for a "report from the payroll system" I was wondering if that meant that some software can generate these reports (and therefore possibly Reckon too).

    If no-one knows a way of doing it, I'll tell them that Kevin and give them the option of having the manual version.

    Would it we could - we're governed by the Office of the Auditor General so have no say in the matter.

    If these guys are asking for a report from the "payroll system" then yes Kevin is right (ggrrrrr teeth grinding) it can't be done. However the only way I do this is as I said for the last 20 years is with my spreadheets. My "considered" suggestion is to do it that way anyway as Kevin suggests (GRRRRRR), they will be able to confirm annual and personal leave take through the payroll summary report at EOFY. I thought of using the 'leave liability report' and the dating it at the beginning and end of the FY, but you can't do that it's only ever at todays date. I rarely use it but I never realised that. Perhaps Reckon needs to look at that. Anyway I take it you dealing with a NFP and a General Purpose Financial Report, if you need help dealing with the Auditor still give me a call and if they're in Northern NSW I might even know them.

    I also think that this is part of their standard "this is what we need" letter. I get the same from my auditors except they know not to put that sort of crap in in order not to cop a spray. Just ring them and explain and it'll be fine what you do. You just need to to justify your calculations. paperwork, paperwork, paperwork, paperwork

    If you're a Local Government then you'll have all sorts of records to justify everything, don't worry it's a standard bloody letter, they'll be fine

    @Vickie Wesolowski Would this suffice ?:

    It's a drill down on the Leave Accrual Summary report, showing Leave movements per Pay, with the columns re-ordered. You can run it for each employee & add in additional columns for their details (including First Name & Last Name so it shows on each line as well as in the title). Unfortunately, there's no "Pay Rate" (Earnings) column option for this report though but you could export it to Excel to add that in ?

    Thanks Shaz - that's actually really helpful. The auditors have said that they will accept our spreadsheet but this is a great way of populating it each year.
