Accounts Hosted for payroll

We are a small not for profit and have been using Payroll Premier. We now need more than one person to be able to access and manage the payroll.

We have accounts hosted. Is the payroll portion of this cloud based?

Can more than one person use at a time in separate locations?

Is the payroll portion equivalent to payroll premier?

What actions would we need to take to have this up and running for the first pay of the new financial year?

lastly is there a handbook / user guide on how to do all of this?

Appreciate any information that I can get. We are also looking at the Reckon stand along payroll software but not sure if this is necessary since we already have hosted.

Thank you

    Hi @TinaS

For our Payroll Premier users we have a specialised migration process to Reckon Payroll which is our new-gen cloud payroll solution.

Is there any particular reason you're looking at moving over to Reckon Accounts Hosted instead?

    Hi Rav

As we already have Reckon Accounts Hosted and use this for our accounts, if it is a suitable program for our payroll purposes it is more cost effective to use a program that we are already using and paying for than moving to another piece of software.

Tina, the Integrated Payroll in Hosted works very well & a breeze to setup however if it's not your forte it might be worth getting some assistance, just make they know their stuff as there are many out there who don't!

    Gotcha thanks for clarifying @TinaS

Yes in that case, if you're already using Reckon Accounts Hosted for the business then using it for payroll as well makes complete sense. In fact, there's probably no better time than now with the new financial year to do so.

Is the payroll portion of this cloud based?

Yes, the payroll features within Reckon Accounts Hosted are within the software itself so its online/cloud like the rest of Hosted 🙂

Can more than one person use at a time in separate locations?

Yes, however each user will require their own licence to Reckon Accounts Hosted which you can share your file among in order for them to access and work on it.

Is the payroll portion equivalent to payroll premier?

Hosted's payroll features are fairly comprehensive and covers a range of requirements. It will be different from Payroll Premier in terms of its interface and how to perform certain tasks. I'd suggest exploring some of the features and functionality first.

What actions would we need to take to have this up and running for the first pay of the new financial year?

Lastly is there a handbook / user guide on how to do all of this?

You will need to setup your employees within Reckon Accounts Hosted and as you've said, starting from the new financial year is best as you'll be starting fresh without any prior balances to take care of.

Its best to ensure that you finalise the 2023/24 year in your current software if you haven't already.

We've got a range of content available to get you accustomed to Reckon Accounts and I'd highly recommend checking out our webinar we ran last year in regard to STP Phase 2 with Reckon Accounts and if you have any specific questions please sing out here on the Community 🙂

From Payroll Premier you can make use of the "Export Data to Reckon Accounts" function.

This can bring across the names and addresses, but will not bring across any pay items or leave setup.

Here is a screenshot of that menu option and export screens.

The resulting QPExport.IIF will not always be able to be imported directly into the QBW file

It may be necessary to modify it if you encounter any errors during the import process.

It needs to be opened in Excel and to have any employee that is inactive to be removed.

Also any duplicate employee names or duplicate employee numbers need to be removed.

Any employee record without an employee number will need to be modified to add one in.
