In Reckon Payroll, how do you know what the leave balances are for each employee during a payrun?

We are using Reckon Payroll and find it hard (compared to Reckon One) to know each employees leave balances while processing leave in a payrun. How do we know how much leave the employee has available when they are usually scrapping the bottom of the barrel each fortnight and also, how do we amend leave accruals if employee takes leave without pay and isn't entitled to the normal fortnightly or pay accrual so that the correct amount of leave appears on the employees payslip? We need to be able to see leave balances as we process the pays for each employee to see that we aren't allowing them more than they actually have.

    Hi @Jodie_10004988

    The balance of leave that is available to a specific employee doesn't appear in the payrun menu in Reckon Payroll at this stage. An option you could do however is right clicking the Employees menu and selecting to open it in a separate tab. That way you can navigate and review each employee's available leave balance in that other tab without interrupting your payrun.


    In reference to adjusting the leave accrual now that the payrun has been completed, do we need to do that in Reckon One or is there some way to do it in Reckon Payroll?

    Can you give us a bit more info on the above. Have you already processed leave in your pay run that should have been leave without pay? If so, what leave items did you use for that?

    Or does it apply to something else entirely?

    Hi @Jodie_10004988,

    If you need to know the leave balances of an employee, please try the following:

    1. Go to employees
    2. Select the employee
    3. Click the leave tab on the employee record
    4. You will now see the leave balances for Personal and Annual leave.

    In an instance an employee takes leave without pay, we recommend that you create a leave item specifically for without pay and ensure that a rate of '0' is entered for the leave item and add the hours they are taking.

    Hi Lucas.

    Can you go to employees and check the leave balances mid payrun? Surely, you don't need to do that for each leave taken to ensure that each employee has enough leave available? Why can't we see that while processing each employees hours like we could before?

    I will make up a LWOP pay item for next time.

    Payrun has already been finished but employee took annual leave and LWOP for additional hours to make up his fortnight. We realise now that we should have a pay item for LWOP but didn't in this case. Employee had 36 of his 54 hours as annual leave and the remaining 18 hours of LWOP wasn't shown in the payrun at all. His leave accrues per pay so would've accrued for the whole 54 hours.

    You can adjust the leave balance in Reckon Payroll. Go to the employee, click on the Leave tab then select the Edit option.

    Ok, thank you for your assistance. Can you tell me if the leave balances are likely to be introduced into the payrun menu in Reckon Payroll in the near future? It would make pays so much easier and less back and forth which is frustrating. Bring back Payroll Premier, it had everything that you could ever want including customised reports.

    It looks like you're editing the full employee profile rather than just their Leave tab.

    If you're editing the full employee profile then you'll find the leave balances in the Other Details section. You'll see it in your screenshot, see example below.
