Notes not saving in Reckon One

I have been making notes in the Reckon One file for our employees and noticed that they aren't being saved despite double checking that I do actually save. They seem to remain there for a couple of days and then disappear. Is there a reason this is happening please. This is something I miss from Payroll Premier and I was directed to make the notes in Reckon One. It is very frustrating as I have now lost the notes that I have been making over the last 6 months.

    Hi @Therese R

    Now that you've moved to and are using Reckon Payroll, that is your source of truth when it comes to managing employee information. While your list of employees appear in your companion Reckon One book, its prefilled from data that comes from Reckon Payroll, not the other way around.

    I wasn't aware of the notes functionality behaving in the manner you've described though so that's something we'll need to look at.

    When you enter your data into the employee notes field, do you click on the Save and/or Save & Close button?

    Yes I probably click both depending on what I am about to do next. To recall which one I used on each employee is a bit difficult to recall.

    I have now taken screen shots of the notes that I made today in 5 Employees profiles so that if they drop out again I have a record of what I did.

    I do know that all the notes I made to the employees profiles back in Feb have now disappeared. For the notes I made on 1 July (11) 5 dropped out.

    Further to the discussion above, I went to make notes again and the notes that I had made in the 3 of the 5 employees referred to above have disappeared again.

    Any ideas as to why this is happening?

    For the employees whose notes disappear, do you make any changes to their profile information? (Aside from entering notes).

    Typically, how long after you enter the notes does it then disappear from that employee profile? I see you've mentioned in your opening post that you've mentioned it can be a couple of days. Is that generally pretty consistent?

    No I did not make any other changes to their profile information.

    The last time I made notes was on 22 July and it was to those 5 employees.

    This time, 3 more employees had their notes disappear along with 3 of the 5 above.

    I have been on leave for 2 pay periods since the 22 July and so did not check the notes until today.

    I am still keeping screen shots of the employees that I make changes to and this time am also dating the change.

    I have noticed that the notes have disappeared again. I wanted to note that employees had rec'd a pay increase and the notes I made back in July, August last year and January this year have disappeared.

    Is anyone else having this issue.

    I am finding this very frustrating as it is affecting my record keeping if I can't rely on Reckon One saving these.

    Sorry to hear this is still occurring â˜šī¸

    I haven't come across any other reports of this but I'm not overly certain if the notes feature is highly utilised.

    I'm guessing this was the first occasion that you attempted to add another note to this particular employee, is that correct?

    Also, do you have any other employees whose notes you added in around the same time (July/August last year) which are still retained?

    Yes most of the employees had notes in them. All the notes I made in Feb last year for everyone had disappeared when I went to make notes in July. On the first of July I made notes to several staff members and on 17th July I noticed that 5 had had their notes disappear. So I re-entered the notes and took screen shots to prove it. On 12 August, 3 of those 5 had their notes disappear so I re-entered them again and took screen shots. In January, 2 employees had their notes disappear. Now all notes that all employees had are gone.

    Just looping back to this to give you an update.

    The team have investigated and have found what's triggering the behaviour you're encountering.

    The good news is, we've got a new update coming hopefully later this week which will include a brand new Notes feature for Reckon Payroll that will allow you to mark down important info related to the employee and most importantly, won't disappear.

    Stay tuned, I'll have an announcement here on the Community as soon as its released.

    Just separately, if you select your Reckon software in your Reckon Community profile, you'll automatically receive an email notification as soon as important info such as release notes, new feature alerts, critical issues etc are published (if you're not already) 🙂.

    Thanks Rav - took a look at it yesterday - much better. Hopefully now no more disappearing notes. Will look at the other improvements and bug fixes.
