Can the bounce cc of payslip emails be addressed?

I send out payslips via email. Reckon advises that the bookkeeper needs to put themselves as a cc on the payslip email to be certain that the email has been sent by the Reckon server. This advice has been followed.

I then receive a bounce advice from bouncenotification@reckon to advise the email cc to the bookkeeper is blocked by spamcop and possibly the email to the employee?

Notification Type: Bounce

Bounce Type: Transient

The email was not sent to

Reason: smtp; 554 5.7.1 Service unavailable; Client host [54.240.9.19] blocked using bl.spamcop.net; Blocked - see https://www.spamcop.net/bl.shtml?54.240.9.19

If unsure about the error above, first check that the email address being sent to is correct.

You can try sending the email again after fixing any issue identified above.

 Please do not reply to this email address as it was sent from an unattended mailbox.

The advice on the spamcop webiste ( https://www.spamcop.net/bl.shtml?54.240.9.19 ) is that the administrator of the mail server has to address the bounce problem. The administrator would be Reckon. The same problem happens every fortnight when the pay slips are sent by email.

Can this be rectified?

    Hi Don

    It's the receiver server that's blocking it eg the recipient(s) spam filters - not Reckon 😬

    You need to get them - meaning your bookkeeper & employee(s) - to "Whitelist" or "Allow" the specific email address that comes through on emails sent from Hosted, in their own email accounts.

    I have sent the bounce message to the experts who manage our mail server.

    They say:
    “It looks like the email was bounced due to their (RECKON) sending server being listed on a Spam Blacklist, for having sent spam out in the past.

    Unfortunately I do not believe there is a way to whitelist emails from them in this case, as their connection to the server will be rejected before the general spam filter for your email account gets to look at the email itself It looks like the email was bounced due to their sending server being listed on a Spam Blacklist, for having sent spam out in the past.

    I would recommend contacting Reckon with a copy of the bounce message that you sent through in this email, to advise them that they are listed on SpamCop's Spam RBL, and they will need to get themselves de-listed first (as this is likely affecting other recipients of theirs, too).”

    I am interested in whether the Reckon experts agree with this advice and if so, can organise a delisting of their sending server. By the way I have had a similar problem with another server and they did fix it until it was put back on the blacklist. It seems to be recurring problem and as Cisco's spam bot says on its site, there is no perfect solution to increasingly sophisticated spam mail.

    Hmm … If it was due to Reckon's server, ALL your sent forms (& all sent by all Reckon users) would bounce back as they're all sent from it. If it's only happening with these 2 recipients only - & not everyone - that suggests it's at their specific end 😬

    Two extra comments:

    I have had the same problem before twice in completely different contexts. Both did get resolved but there is always the risk of the server being blacklisted again. I wonder whether sending out multiple emails to the same in box (as with payslip emails with ccs to the bookkeeper) could result in a blacklisting. The spam bot algoritms are not perfect.


    Also, I have followed Rav's advice in another post: “We recommend that you whitelist the bouncenotifications@reckon.com email address to ensure that any bounce notifications don't get lost in your spam folder. ”

    I do get the bounce notifications from Reckon in my in box; they don't end up in the spam folder.
    I am just requesting if there is anything Reckon can do to stop email ‘bounce’ happening in the first place - eg what the expert above suggested. As the expert quoted above also pointed out, if it is happening to me, it is probab;y happening to other Hosted Reckon users?

    It's not happening to me or any of my Hosted clients - If it was as your expert suggests & therefore a Reckon issue, it would be happening to all Hosted users on all emails sent but it's not ? Maybe it was listed on SpamCop's Spam RBL at one time but it can't be the case anymore as it's not happening across the board to everyone.

    Rav's suggestion is so that you can be aware if/when it happens.

    I still feel this is something the 2 recipients need to “allow” at their end in their own spam filters … Maybe @Rav can shed more light on it ?

    Hi Don,

    Previously we'd suggest adding your own (or other) email address into the CC or BCC field as a workaround measure since Reckon Accounts Hosted did not have an accessible email log/history.

    This changed a couple of years ago with the introduction of the email report functionality in Reckon Accounts Hosted (info on this below) so the previous method is no longer necessary.

    In terms of specific email addresses getting blacklisted, that's not something I've heard about and I'm not sure if that's even possible (on our end) but I'm happy to enquire about it. Can you send me a Private Message with the specific email address that is getting bounced along with your Reckon Accounts Hosted username/user ID.

    Hi Shaz,

    Firstly Reckon has probably contracted with Cisco to supply the spam bot service - and this would have been done to weed out to stop spam mail; so it was put in place for good reasons and in response to Hosted users requests re spam emails - see previous community posts.

    The spam bot is a bit more sophisticated than blocking all emails sent to an in box. The bounce notification said the bounce was temporary, so subsequent emails would go through.
    I think I am having a problem as I send a number of payslip emails in quick succession and they all have a cc to the bookkeeper (as per a previous Reckon post advice on having some documentation that the payslip was sent by Reckon to the employee, eg if an employee questions not receiving the payslip).

    I am thinking that when I send my emails in quick succession, the spam bot is programmed to bounce the third or fourth email from Reckon to the same inbox. Its purpose in doing that is to stop a denial of service (DOS) attack on that inbox. That is a good thing but unfortunately it also blocks legitimate emails and this downside is recognised by the spam bot programme.
    I would think that I am not the only person sending out more than 2 payslips by email with a cc back to the bookkeeper.Does anyone else have this problem?

    Other than Reckon making the bookkeeper address an exception, what else can be done?
    I could send out one payslip each hour and I suspect I would not have the problem.
    Alternatively I could take the cc off the payslip emails, but I then do not have a copy of what has been sent to the employee - or can I get a copy of sent emails in that manage Hosted screen?

    I too have no problems emailing payslips, 3 on one payroll and 15 on another
