Balance Sheet Total

Hi, I have just started using Accounts Hosted today. I was previously using an old desktop version. All my data has been migrated successfully over by the team at Reckon. One thing I notice though is that the Balance Sheet on Hosting finishes at the Total Equity Line rather than my old system which had an extra line at the very bottom called TOTAL LIABILITIES AND EQUITY. I would like this line added if possible, can anyone advise?

Also, this is probably a dumb question, but I have been told by Reckon to back up my data today, either on a USB or back up disc. I thought the whole idea of Reckon Hosting is that it is in the cloud and accessible from any computer in the world. Am I missing something?

    You need to do regular backup like any system, your data file is accessable from any where in the world.

    Go to Preferences- reports and graphs and select international format for balance sheet

    Hi Kris, thanks for your reply. FYI, changing the report to international format didn't make any difference but choosing RA Standard format did. I'm glad it's sorted, it was bugging me.

    Hi Gerry, thanks for your reply. I am technically challenged (73, at home, no IT support!), so forgive me if my questions seem dumb. I am about to get a new computer and had to change to Accounts Hosting because the new computer was not able to read my old Quickbooks CD (V7). I assumed that I could log onto Reckon on my new computer and my account would be there and up to date? Is that a wrong assumption? If I back up the current info to Reckon's B drive will that suffice? I intend to switch over to my new computer this weekend. I use Microsoft 365 and have backed all of my documents and photos to OneDrive. I was hoping to be able to avoid having to transfer data from my old disc by logging onto Microsoft 365 and Accounts Hosting on my new computer. Can you see any problems with me doing that or should I employ an IT person? I managed to move my husband onto his new computer by using Microsoft 365 but he did not have a program like Reckon to move over.

    Hi Diane

    Well, for 73, you sound pretty tech-cluey to me! Good on you 😁

    So the old program you had was installed - from a disc - directly onto your specific computer, generally meaning you could only use it from that device itself.

    The great thing about the Reckon Accounts Hosted (RAH) version is that it's on Reckon's servers (eg their main, encrypted computers, named the "Q Drive" & a secondary one to backup to, the "B Drive") so whilst it's not "online" - like our internet banking is for instance - from our perspective, we're able to access it "remotely" from any device, anywhere, via the internet 😊

    At the moment, your company file is still only on your old computer &/or backed up (eg to a USB) so you need to "put your file on Reckon's servers" FIRST by "uploading" your backup file (to the Q or B Drive) Then yes, you're correct ... when you're on your new computer, you just log in to the Reckon Accounts Hosted platform & can access it from there.

    The first time, you need to restore the backup from it's saved location to your user folder on the main Q Drive but after that, the system should remember where it is & you'll be all set ☺️

    Thanks very much Shaz. So if I understand you correctly, I need to back up periodically to B Drive and then Q drive to be able to access up to date accounts, whether I'm logging on to my new computer, or one in a remote location. Yes, my old version of Quickbooks was only on my current desktop. When I tried to put the disc in to my new computer, it could not read it. I contacted QB and they confirmed that it was such old technology that it could not be moved onto new technology. It was 20 years old so no surprises there. :-) Anyway, I will follow the backup instructions and hopefully everything will work out correctly.

    • your "current data" is always stored in the Q drive
    • your back up copies are stored in the B drive, and
    • you are correct that you can access Hosted (both Q & B drives) from anywhere in the world.

    However, it is prudent to periodically download a copy of the most recent B drive back up to your own computer. This is needed so that in the (hopefully never) event that Reckon has a catastrophic failure you still have a copy of your own data. For my very active clients I do this every time I access their file, for others less frequently. I have never needed them, but better to be safe than sorry.

    As per Bruce's advice above .... your "live" file (eg the one that's always current) is your main .qbw file on the Q Drive but - just like on your computer - you should take regular backups of it, which you can save to the designated B (Backup) Drive ☺️

    Yes ... unfortunately, because technology has advanced so much over the years, those old discs are not compatible with current IT formats today 😬
