Clean up Company File ERROR - Reckon Accounts

Hi everyone,

I've done a Rebuild and verify, not issues. I've tried to do small periods. Same result. I've tried to no tick the option. Same result. Can anyone help?

Any help would be great.

I can see you can submit the file but Reckon is used every day and I can't just submit it and wait for them to fix it. When you submit it, do they tell you how to fix it so I can do it on my local copy?

    We do not just fix the file when you submit it to undergo analysis.

    If the problem is causing a crash, the issue will likely require tools and techniques that are not available to you or could not be explained in a manner that would allow you to resolve the issue yourself.

    If you submit a file to undergo analysis, we can take a look at it.

    We will perform the analysis on the copy we receive or retrieve from the Hosted platform.

    You can then continue to use the file as usual.

    If we can find a solution that entails methods that you would be able to do yourself, then we will provide you with those instructions, and you can resolve the problem at a time most convenient for you.

    If the solution would require a data file repair service, we will provide you with quote options to choose from, and we can then schedule a repair (which will require you to set aside time for the data file to be offline while we perform the work).


    You've indicated that you have reviewed the other Community Post (which has instructions for the Hosted platform)

    How large is your current company data file?

    How often do you back up?

    How often do you include ticking the "Complete verification" option in the Backup Options page?

    Have you recently performed a file integrity check?

    What period are you attempting to 'clean up' or what date have you set as the cut-off date?

    Have you attempted performing the clean up in smaller stages?

    Example: If you originally set the cut-off date to be July 1, 2021, meaning the period earlier than that is what is being processed, try changing the cut-off date.

    • 01/07/2020

    By going back and doing it in smaller increments, it would assist in potentially identifying the period that is failing.

    Thanks for getting back to me.

    There are a few reasons why.

    We basically use QODBC to query reckon. I have 3-5 sales people and they create invoices, query invoices, mark invoices as paid and things like that. Because reckon is a flat file solution with no indexes, for the system to find an Invoice, it’s goto look at every single invoice rather then looking at a index. This can be very slow. Less Invoices for example, less time to find invoices and create invoices. There are a few examples like that and how we use QODBC.

     The other reason is I do not need or want to keep single transactions around for more than 5 years.

    2.      How often do you back up? Minimum Monthly

    3.      How often do you include ticking the "Complete verification" option in the Backup Options page? Monthly

    4.      Have you recently performed a file integrity check? No often but I did before I tried a clean up. I tried 4 different clean ups. Selecting different dates.

    5.      What period are you attempting to 'clean up' or what date have you set as the cut-off date? One year before I started the business. So 1 year of transactions.

    6.      Have you attempted performing the clean up in smaller stages? Yes. One year.

    I’ve also tried a rebuild and verify before doing a clean-up. Same result. Locally outside of the Hosted Environment
