MFA for 3 users with 2 licences

How are all users of a Reckon Licence going to be able to receive a MFA code when you can only set one mobile phone number up to receive code?

We currently pay for two licences and feel having a third licence for an employee that only works 6 hours per week most weeks to be a big expense to the company.

Our main two users that will have MFA set to their phones are planning to travel overseas which will leave our casual employee without access to REckon.

Our Accountant also uses our log in.

    Hi @Andy_9860584

    How is that 3rd person currently logging into Reckon Accounts Hosted? Are you sharing user names and passwords to your licences across multiple people?

    MFA is specific to the Reckon Accounts Hosted login so if each of those 3 separate people are logging in using their own individual login credentials ie. their own specific licence then they'll have their own MFA which they can use to authenticate.


    Separately, is there a reason why your accountant is using your login and not their own? Generally an accountant should have their own licence which you will then share your file to.


    We're always happy to have a chat around managing multiple users and your options when it comes to licences etc. The vast majority of Hosted users operate their own licence per individual user so won't notice too much of a difference once mandatory MFA for Hosted comes into effect next month however if you're sharing a login across multiple users then our customer service team (1800 732 566) is happy to have a conversation around getting the licencing side of things organised & setup.

    Our casual employee (3rd User) logs into Reckon Accounts Hosted using the second licence username & password same as our Manager (when he is not logged in) but have been set up as a separate user. Therefore there is only one log in to this licence which the MFA will be set up to managers phone.

    I believe our accountant users our log in as he doesn't have his own but this is something i would have to check with him.

    Sharing a log in with more than one employee has been manageable up until now and the cost of a 3rd licence seems ridiculous.

    Hi Rav from Reckon,

    I have the same issue as Andy_9860584. The only time our accountant uses Reckon Accounts Hosted is when she is doing our year end tax return. She only accesses our files for 3-7 days. Currently to do this she uses my log in as I don't use Reckon Accounts Hosted all day and this set up has worked for us for many years. The MFA for my user licence will obviously be set to my phone causing access issues for our accountant. I don't believe she has her own licence as she has mentioned her other clients use Quickbooks or Xero. If our accountant has to buy a licence just to do our books then I have to agree with Andy_9860584 that the cost of that extra licence for 3-7 days use a year is ridiculous.

    Donna I have just contacted customer service and the only help i got was that we need to purchase a new licence for each user. Frustrating that we need a separate licence for an employee to do a few hours of data entry per week that wont be lodging anything with the ATO via Reckon.

    So, we have been sold a product that has legitimately allowed multiple users with one licence/log in.
    If this is “not recommended” why has it been an available option?
    We are a small family business and employ part time staff who need to access reckon for their specific role (ie payroll is done by me, invoice creation etc. by office staff, report creation by the manager and our accountant accesses it with their own user id using the same login once a year to do our tax). We don’t sit in the same building or use the same computer and have happily worked it this way for years. It is simply not viable to expect one person to have the MFA code and pass it on to whomever needs it and I refuse to pay for multiple licences when we probably only use reckon for 10-15 hours per week between all of us.

    While I understand that this is an ATO mandated change, it is outrageous that Reckon does not have a resolution to this issue.

    Also unhappy with this. Should not be an issue unless people are using it at the same time. Was never an issue with desktop software being installed in an office. Now if one person goes on holidays, no-one else can use that license? Or if there are part-timers who use it during the week on different days? And one of them is off, the fill in staff member wouldn't have access either??? Very impractical, and not a very user friendly implementation of multi-factor authentication that other software providers seem to have managed a bit better.
    Hopefully we will see a solution in the near future.
