Custom Fields (Supplier) and Expenses by Supplier Report

When I filter the report using one of the custom fields, we have created no data appears in the report.

When I do a Transaction Lisy by Supplier report and include the Custom field on the report it is blank.

Am I missing a step or are custom fields no good when trying to report transaction style reports.

    @PeterC67 I'm assuming you've set up the Custom Field in Supplier records ?

    If you're not adding them to forms, Custom Fields in just the name centres will only be database-related eg for reporting on specific Suppliers themselves, rather than their transactions.

    Can you not filter the reports for specific Terms instead ?

    eg

    • "30 Days"
    • "30 Days > EOM"

    • "7 Days"
    • "14 Days"

    What exactly is the custom field? - you could try an itemised Profit & Loss, modify it to show expenses only, then sort by name. If there is only one expense account you’re after you can just do a quick report on that expense and then sort that by name. Not sure what you’re after

    We pay our suppliers weekly and monthly.

    Monthly I supply the expenses by Supplier Summary report to the owners. To make it more relevant I am only wanting to include the monthly suppliers as an overview of the monthly payables. So have created a Custom Field, and populate it with either Weekly or Monthly.

    If I filter the report for the custom field with Monthly, nothing displays.

    To make it even more frustrating if you do a Transaction List by Supplier report, and include the custom field to display nothing is showing up in the field!

    Can you please explain this in more details -

    • In Transaction List by Supplier Report, How are you sorting out the Custom field?
    • Is the Custom Field that you mentioned is the Dates that you're selecting as Custom?
    • Is there any specific Column that you're adding in the display field that you're mentioning as a custom field?

    After Modifying the Report, how are you sorting the report by?

    The purpose for me asking these questions, as I have tested, and it seems to be working without any issues. Please provide us with the requested information and will have a look for you. Thank you!

    I am talking about a Custom Field, not customising a report.

    The Custom Field is Cred.Report

    Transaction List by Supplier - shows nothing recorded in the Cred.Report field

    Could you not use classes instead of your custom field, just the 2, they work very well. Then you can easily sort reports by class

    We use classes for other purposes.

    Does this mean that Custom Fields are useless?

    That will work.

    But in my mind sort of defeats the purpose of custom fields, if all they relating to is the Supplier and Customer data. I would have thought that you should be able to use them for the transactional data as well.

    You can … on forms (eg editable templates) ☺️ but as Custom Fields are user-specific, the system can’t differentiate between what might be supplier-applicable info v transactional.

    The Supplier Type field is a system default feature though so there’s greater scope for reporting ☺️

    Another option is to filter the relevant Supplier Names in your transaction report however you would need to remember to manually also select/remove suppliers accordingly 😬

    Hi @PeterC67

    For those reading this post who is not familiar with custom fields, these can be the Supplier record in the Additional Info tab.

    Whilst you are able to modify a report to include a specific column does not automatically mean it will be populated as it depends on the type of report and where that custom field is used.

    For a value to appear in the "Cred.Report" column for that custom field that you added to the report when you modified it, that transaction itself needs to have a value set for it.

    You would need to modify one of the templates to include that "Cred.Report" custom field.

    Such as in a Purchase Order (for suppliers).

    Then when you enter a transaction in which a custom field had been added, you can enter a value there and that would appear in a report.

    For supplier related transactions, a purchase order template can be modified to include that custom field.

    The Bill transaction does not make use of a template and hence the custom field cannot be added to it.

    A custom field is not available to be set on all transaction types, such as Bills or Bill Payments.

    The Terms field could possibly be used as indicated by Shaz @Acctd4 .

    One alternative is to Modify the Transaction List by Supplier and specifically select only those Supplier Names that you want to be included in a monthly or weekly report.

    You can also modify the Header and Footer to reflect the name of the report.

    You can memorise each customised report for re-use later.
